Creating a New Relationship

1. Navigate to "Relationships"

2. Click "New"

3. Complete the relationship form. Some fields are required, while others are optional. Required fields are marked with a red asterisk.

Tip: Here is a guide to help you understand each field, as you complete the product form:

  • Name - This could be the name of a company or the name of an individual.

  • Type -

    • "Supplier" can be used for Relationships that you purchase from via Purchase Orders.
    • "Business Customer" can be used for companies with whom you have a business relationship. For example, you might offer trade prices or alternate payment terms to these customers.
    • "Consumer" can be used for general customers.
  • Status -

    • "Prospective" - can be used for potential customers who have not yet committed to your business.
    • "Committed" - can be used for customers who have committed to your business, but have yet to place any orders.
    • "Active" - Active Relationships.
    • "Disabled" - Disabled Relationships. NOTE: New orders cannot be added for disabled Relationships.
  • Payment Terms - If you apply different Payment Terms to different relationships, you can select the appropriate Payment Term here. Sales Orders created for this Relationship will have the selected Payment Terms by default, but you can still manually select different Payment Terms for each Sales Order. NOTE: You can create and configure Payment Terms via: “Settings” > “Configuration” > “Payment Terms”.

  • Email - The primary contact email for this Relationship.

  • Disable Shipment Emails - If enabled, shipment emails will not be sent to this relationship.

  • Phone - The primary contact phone number for this Relationship.

  • Website - A website address for the relationship. This is primarily intended for businesses.

  • Tax Number - e.g. the VAT number for the Relationship.

  • Description - A long text field which can be used to add a description of the Relationship.

  • Tags - You can apply multiple Tags to Relationships. Select from the list of existing Tags, or type in a new Tag and click the “Add new tag” button (or use your “Enter” key). When you start typing a Tag, the list of existing Tags will be filtered to show matching Tags. Tags can help with the organisation and categorization of Relationships.

  • Sales Region - If you assign Relationships to specific members of staff, then you can select which Sales Region (or grouping) this Relationship belongs to. This can be especially useful for tracking the outreach of your salespeople as well as calculating sales commissions. Sales Orders created for this Relationship will have the selected Sales Region by default, but you can still manually select a different Sales Region for each Sales Order. NOTE: You can create and configure Sales Regions via: “Settings” > “Configuration” > “Sales Regions”.

  • Default Branding - If you have multiple Brandings setup, you can select which Branding should be used by default for this Relationship's Sales Orders. This affects the Branding on Sales Order documents and emails. You can still manually select a different Branding for each Sales Order. NOTE: You can create and configure Brandings via: “Settings” > “Configuration” > “Branding”.

  • Default Currency - By default, prices on this Relationship's Sales Orders will be displayed in the selected currency. You can still manually select a different currency for each Sales Order. NOTE: You set up Currencies via: “Settings” > “Configuration” > “Currencies”.

  • Default Price List - If you have multiple Price Lists setup for your Products, then you can select which Price List should be used by default for this Relationship's Sales Orders. This only affects which Price List will be used by default, you can still select prices from different Price Lists or enter prices manually for each Line Item. NOTE: You can create Price Lists via: “Settings” > “Configuration” > “Price Lists”.

  • Default Tax Rate - If you have multiple Tax Rates setup, then you can select which Tax Rate should be applied by default to taxable Products on this Relationship's Sales Orders. This only affects which Tax Rate will be used by default, you can still select different Tax Rates for each Line Item. NOTE: You can create and configure Tax Rates via: “Settings” > “Configuration” > “Tax Rates”.

4. Click "Save"
